How WA-B works, start to finish.

From your first WhatsApp message to money landing in your MoMo wallet. Here's the whole journey, one step at a time — no jargon, no missing pieces.

The short version

WhatsApp is the storefront, the checkout, and the receipt — all in one thread your customer already has open. Your dashboard (and mobile app) is the back office: where products live, where orders queue up, and where you see the money.

Everything below happens without your customer ever leaving WhatsApp, and without you needing a website, a POS terminal, or a card machine.

New to WA-B? This page explains how the pieces fit together. For a literal step-by-step launch checklist, see the go-live checklist.

1. Connect your WhatsApp Business number

You link the WhatsApp number your customers already message (or a new one you set up for the business) through Meta's WhatsApp Cloud API. Once it's verified, WA-B answers on your behalf — instantly, and around the clock — using the greeting, hours, and menu you set.

This is a one-time setup step. After that, every inbound "Hi" or "Menu" routes straight into your shop's ordering flow.

2. Add your products

From the dashboard's Products page (or the mobile app, right from your phone), add items with a photo, a price, and a category. Ghanaian SMEs move fast — you can add one item in the middle of a lunch rush or bulk-import a whole catalog from a CSV.

Changes are live immediately: edit a price at 11:59 and the next customer sees it at 12:00.

3. A customer orders on WhatsApp

Customers drive the conversation with short, forgiving text commands. No app to download, no account to create.

Customer sendsWhat happens
Hi / MenuWelcome message with an Order Now button
OrderBrowse the product list by category
Adds itemsCart builds up in the same thread
CancelClears the current cart, no harm done

When they're ready, they confirm the order and move straight to payment — still inside WhatsApp.

4. Getting paid

WA-B sends a MoMo payment prompt to the customer's phone for the order total. They approve it the way they already approve any MoMo transaction. Customers without MoMo can pay by card instead, processed through Paystack.

The moment payment is confirmed, the order flips to paid automatically — no manual reconciliation, no "let me check if it came through."

Curious about the technical side — webhooks, signatures, retries? That detail lives in the developer docs.

5. Fulfilling the order

Paid orders land in your dashboard's order queue with one shared status: pending → paid → preparing → on-the-way → delivered. Move it forward as you go, and your customer gets an automatic WhatsApp update at each step — so "where's my order?" stops being a message you have to answer.

Your dashboard and mobile app

The dashboard is where the rest of the business lives: orders, customers, products, promos, broadcasts, inventory, a lightweight accounting view, and analytics on what's actually selling. The companion mobile app mirrors the parts you need on the move — new orders, quick status updates, a glance at today's numbers.

Promos & broadcasts

Once you have customers in the system, you can message them — a restock alert, a weekend promo code, a new-arrivals broadcast. Customers only hear from you if they've messaged you first, and every broadcast should give them an easy way to stop hearing from you if they'd rather not.

Your subscription

WA-B itself runs on a monthly plan billed via MoMo — see Pricing for the current tiers. It renews automatically each month; if a renewal ever fails, you'll get a WhatsApp reminder before anything is interrupted.
